How much does a CRM cost? build, subscription and payback

A custom CRM looks expensive until you add up two years of per-user subscriptions. Here is how to compare the two honestly — including the costs that rarely appear on pricing pages.

The short answer

There are two ways to pay for a CRM. A ready-made CRM charges per user per month — roughly $15–100 or more per user, depending on the plan. A custom CRM for a small team costs from $1,500 once and takes 4–8 weeks; after that you pay only for hosting, usually $5–20 a month, whatever the number of users. Either way, moving your data and setting up the process is part of the cost.

What a ready-made CRM costs

Subscription CRMs price by the number of users and the plan. Cheaper plans cover contacts and a pipeline; automation, extra pipelines, reports and integrations usually sit in higher plans or paid add-ons. Many vendors also have implementation partners who charge separately to set the system up. The monthly bill grows every time you add a person or a feature.

What drives the price

  • Pipelines and stages — one sales process or several.
  • Roles — who sees what and who can change what.
  • Integrations — website forms, email, telephony, accounting, messengers.
  • Reports — the numbers a manager needs every week.
  • Data migration from spreadsheets or another CRM.

A two-year comparison

An example with round numbers: a team of 10 on a plan at $40 per user pays $400 a month — about $9,600 over two years, and the bill continues. A custom CRM at $2,000 plus $10 a month for hosting comes to about $2,240 over the same period. With three users the picture is different, and a ready-made CRM is usually the better deal.

The detailed decision guide is in custom CRM or off-the-shelf.

When a custom CRM pays off

  • Many users, so per-seat fees add up quickly.
  • A process that doesn't fit a standard pipeline — tenders, projects, staffing, logistics.
  • Your team fights the software every day or keeps a parallel spreadsheet.
  • You need integrations with local services — Telegram, local payment systems, accounting software.
  • You want the data on your own server.

Costs nobody mentions

Whichever CRM you choose, budget time for cleaning old data, moving it, agreeing on stages and teaching the team. A CRM that nobody fills in is the most expensive one. That is why a custom CRM starts with your real process — the stages your team already uses — so there is less to learn.
