How much does a custom CRM cost? And when it pays off

A custom CRM sounds expensive until you add up a few years of per-user subscriptions. Here is how to compare honestly.

The short answer

A focused CRM for a small team starts at $1,500 and takes 4–8 weeks. Hosting is usually $5–20 a month, whatever the number of users. The exact price is fixed in writing after a short call about your process.

What drives the price

  • Pipelines and stages — one sales process or several.
  • Roles — who sees what, and who can change it.
  • Integrations — website forms, email, telephony, accounting, messengers.
  • Reports — the numbers your managers need every week.
  • Data migration from spreadsheets or another CRM.

Custom versus subscription

Ready-made CRMs charge per user per month — roughly $15–100 or more depending on the plan. For ten users that is several thousand dollars a year, every year. A custom CRM costs more at the start and very little afterwards, and it does exactly what your process needs.

A ready-made CRM is still the better choice when your process is standard and the team is small — there is a full comparison in the guides.

Questions

Can you move our data from the old CRM?

Yes, from an export or the old CRM's API.

What if our process changes?

The CRM changes with it: $15 an hour, only when you need it.
